Buying more software does not fix unclear ownership or missing information. Build a routine around the tools you already use, then add complexity only when there is a genuine need.
A clear five-step method
Define the master records
Decide which folder, index and tracker are authoritative. Label examples and working copies so they cannot be mistaken for current records.
Use a short weekly routine
File new documents, update current actions, add unanswered questions and check the next few weeks of supplied dates.
Use a monthly exceptions review
Look for missing sources, unclear ownership, overdue administrative follow-up and records that need a decision.
Control access
Give access only to people who need it, review permissions and avoid sharing links more widely than intended.
Write the handover
Document where records are held, how updates are made and who decides unresolved issues. Keep the routine short enough for someone else to follow.
